  • The user has complete Control in the way his accounts are classified: car sales, side notes, or repair notes for example.

  • Any number of independent point of Sale Locations can be monitored and reported on.

  • Cash In Deal, Gross, and Exposure are automatically calculated and updated after each payment or non-cash adjustment.
  • On Screen Viewing of all account information is possible including current account status, payment history, and collector notes.
  • The system is designed as a Cardless system eliminating the need to keep account cards although account cards may still be used.
  • New accounts, paid out accounts, repossessions, and monthly account status can be Reported to the Credit Bureau.

Selection criteria for reports is flexible and easy to use with a variety of methods for choosing the data such as:

  • Sale Location
  • Loan Type Contract Date
  • Open and/or Closed Accounts
  • Charge Off Status, Balance
  • Collector
  • Contractual or Recency Date
  • Office assignment for multiple locations

Cash Control: Tracking and auditing cash is one of the most important features of the systemYour location will handle large amounts of cash each day. The following Controls and Reports will help assure integrity.

Passwords and Access Levels:

  • Each employee has a password and access level assigned for security Access levels prevent employees from accessing key functions and reports if management deems necessary.
  • Printed Receipts for every cash transaction
  • Receipts may be batched to the standard format or to a specially designed Mailer.
  • Cash Drawer Report: Money can be accounted for by Employee taking the payment, by Cash Drawer, by Location of Sale, by Date of Receipt, by NSF Transactions, Non Cash Account Adjustments, by Charge Off dollars collected, and Loan Type.
  • Non-Cash Adjustments: All Non-Cash Accounts Adjustments are tracked and noted in a permanent file for Managerial and Auditor Review.
  • Internal Audit Letters: This helpful tool allows management to send audit letters to Open and Closed accounts verifying account balances and contractual status.
  • Monthly Cash Income Report: This one page summary gives a complete daily review of principal and interest collected, charge off dollars collected, account adjustments, and NSF checks backed out.
  • Fees Collected: Report Sales Tax, Title Fees, Registration Fees and other fees collected as part of the sale of vehicles
  • Monthly Transaction Journal: Review any and all activity during the month: For example, review the monthly journal for all NSF checks, non-cash adjustments, charge off to repossession, paid out accounts, or down payment side notes booked.
  • Vehicle Sales: The flexible Inventory System allows the user to keep complete Inventory Control or only view information concerning vehicles sold.
  • Inventory Report: Inventory can be tracked and reported in a variety of ways, including Management only reports and Salesmen only reports
  • Reconditioning can be tracked separately or included in the purchase cost of the car.
  • Monthly Sales Log: Sales logs report all sales for the month with all pertinent information for each sale, totals for the month and averages per sales reported.
  • Track Policy Adjustments after the sale of the vehicle.
  • Canceled and Expired Insurance: Track and quickly report on canceled or expired insurance as well as track the status of titles in transit.
  • Sold Vehicle report gives detail about the car sold to the customer.
  • Collections: Collections soon become a very important part of any Buy-Here Pay-Here operationThe Collector package along with the following reports give the finance company complete control over collections.
  • Aging Report: Management can review all accounts classified as current, 0 to 30 days, 31 to 60, 61 to 90, 91 and over status.
  • Delinquency Report: This report is similar to the Aging Report but presents the information from a different perspective:
  • Past Due amounts are shown with other important information.
  • Contractual-Recency Summary: This report summarizes, in detail, the current Contractual and Recency of the accounts.
  • Collector Daily Activity: Management can review all collectors' or individual collectors' work activity for the day:
  • Number of accounts worked, promises to pay, notes, and Action/Result Codes are reported.

Collector Sets Made: This is an in depth look at the results of each collector's work:

  • Management can review the actual results of Promises to Pay to see what kind of results were actually attained:
  • Sets Due and Sets Made can be analyzed.
  • Collector Follow-Up: Collectors can review their own personal Follow Up reminder list.
  • Collector Action/Result Summary: This report allows management to analyze how many times a collector telephoned employers, telephoned residence, received no answer, had customers call the office, and so on:
  • Users can Create their own Action/Result codes if necessary.
  • Credit Applications: Log and Track Credit Applicants for easy look up when customers may return for a new purchase.

Monthly Summaries:

  • Closed Accounts Report: Know for certain what files changed status from Open to Closed during the month (also know the status of the account when it was closed)
  • Charge Off Report: This reports accounts that were charged off during the month for Tax Purposes, Repossession, or Profit and Loss.
  • End of the Month Summary: This valuable report details the receivable position of all accounts at the beginning of the month, changes in receivables due to sales, payments, charge offs, NSF adjustments, and non-cash adjustments, and the position of the receivables at the end of the month and any out of balance positions.
  • Portfolio Summary: Management can review the number of loans made, the number paid out, the number charged off, the number remaining, and other information for any time frame desiredFor example, the first quarter of last year may be analyzed as a group of accounts.
  • Projection Report: The report projects anticipated cash income over next 30 days as well as projected income, paid out accounts expected, and interest anticipated, based on the current pay history of the current accounts.
  • Other Controls and Reports: The following are other very useful management reports available.
  • Business Projection Report: Analyze income potential, cash flow needs, and net profit on a monthly basis for up to five years
  • Run a variety of scenarios to determine the best course of action.

Customer List: Two forms of the customer list are available

  • One concentrates on information about the customer and the other on information about the loan.
  • Exposure Report: This informative report shows beginning balances, current balances, original cash in deal, current exposure, gross, payments to date, and other critical data
  • Management Can Know how much is still 'on the street'.
  • Mailing Labels: Labels can be generated from a variety of selection criteria.
  • Tag File: Employees can 'Tag' customer files for various reasons
  • This report allows the user to pull those accounts tagged, for example, as 'See Manager', 'No Checks', or 'Bankrupt'.
  • Loan Statistics: This valuable report give details such as average balance booked, cost of cars, total reconditioning, average age of the buyer, insurance penetration, buyers with phones, average gross, current delinquency, and so on.
  • Deleted Accounts: Keep a permanent list of accounts even after they have been deleted from the main receivable database.
  • Employment: This convenient report lists the customer's name, address, and related employment information.
